This article explains how job posters on Staff Me Up can close a job posting and send a 'Thank You' note to applicants. Sending a thank you letter is a great way to provide a positive experience for all applicants and maintain your brand's reputation
What are 'Thank You' Notes?
On Staff Me Up site, you have the option to send a "thank you" letter to applicants after a job has been closed. This feature helps to formally conclude the application process for everyone who applied, letting them know the position has been filled.
Automatic Closure: Job postings are automatically closed 48 hours after the listed start date. At this time, Staff Me Up updates the job's status to inform applicants that the hiring process is in its final stages.
Manual Closure: A job poster can close a listing at any time before the automatic closure by indicating they have filled the position.
How to Send a 'Thank You' Note
Once you have indicated that a job is closed, you will be guided through the following steps to send a thank you note:
Close Your Job: Click on the overflow menu (... button) to the right of the position. Select Close Job
Indicate Your Hire: You will be prompted to select if you hired someone from Staff Me Up. This helps us know we’re doing a good job and ensures the person you hired does not receive the same thank you message as the other applicants.
Write Your Note: You can then write a message to the remaining applicants. This is your opportunity to thank them for their time and interest in the position.
Submit for Review: After you click "Save," the note is sent to the Staff Me Up support team. They will review the letter to ensure it meets our guidelines and then approve it for release.
Thank you Note Best Practices
Personalize the Language: Avoid general, impersonal terms like “everyone” or “all.” The goal is for each applicant to feel the note is intended for them.
Correct Company Name: Ensure any mention of our company is "Staff Me Up." Ensure to correct variations like “SMU” or “StaffMeUp.”
Anonymize Poster Information: Do not add personal information, such as a full name. For example, change “Joe Smith” to “Joe S.”
Check for Inappropriate Content: The note must not violate our Terms of Service. Specifically, links to external career pages or language that directs users off-site.

What Applicants See
Once your thank you note is approved, it will be sent to the applicants who were not selected for the position. On the applicant's "Jobs I’ve Applied To" page, the job status will show as "Closed," signaling that they are free to seek other opportunities for that time period.

Why do I have to select who I hired?

Who reviews my 'Thank You' note?
After you save your note, a notification is sent to the Staff Me Up support team, who will review and approve the letter before it is sent to applicants.
What does the applicant see on their end?
The job will be marked as "Closed" on their "Jobs I’ve Applied To" page. This informs them that the position has been filled and they can look for other work.
